Integrated with Real-Time Policy Management
Aungate Preservation and Collection combined with the company’s Real-Time Policy Management platform offers organizations greater control over the information lifecycle of ESI sources, ranging from enterprise content servers and email repositories to the desktop and laptop. Once an organization has defined a set of corporate policies or parameters for data retention and disposition, those policies are continuously and automatically applied against all ESI including email, instant messages and PDFs, accurately identifying and putting a legal hold on any data that may need to be produced at the time of trial. These policies can even provide protection in the event of theft or loss of a corporate laptop by automatically triggering the encryption or deletion of sensitive corporate information. When legal hold is integrated with Real-Time Policy Management, an organization can create and automatically enforce retention and disposition policies efficiently and cost effectively without reliance on or interruption of individual employees.
Preserve-in-Place
Aungate Preservation and Collection takes a innovative and efficient approach to information management and in doing so, redefines the way that potentially relevant ESI is identified, preserved and collected. Truly an industry first, Aungate Legal Hold Preservation and Collection has been engineered to securely preserve information that has been identified as potentially responsive "in place" wherever it lives, greatly reducing storage costs and the strain on network resources. Once the data is put on legal hold and locked down in place at the sector level it cannot be deleted, reducing the risk of spoliation and ensuring that the data can be produced in its native form when and if it’s needed. However, in the case that a custodian has need to edit a file that has been preserved, a new copy can be made and itself preserved if necessary. This fully automated process takes the onus off of custodians and data stewards to identify and preserve the ESI that they consider to be potentially relevant, while alleviating the risk of lost or misplaced data that could accompany such a manual process.
Once potentially relevant data has been identified and preserved in place, pending litigation, it must be collected from where it resides so that it can be processed for review. Utilizing Autonomy’s ability to tap in to over 400 data repositories, the system extracts the preserved data and sends either via the network or an internet connection to a secure, tamper-proof collections repository where it is automatically indexed for quick and easy retrieval. Aungate Preservation and Collection provides enhanced flexibility by allowing the customer full control to designate their collection repository based on system requirements or existing infrastructure, often utilizing network file servers, archive systems or any other centralized storage area that is convenient for the organization. Upon collection, the data set can be turned over to either Introspect EDD or a preferred third party vendor for further culling and analysis, or may be directly ingested in to a litigation review tool such as ZANTAZ’ Introspect Review and Production.
Identify and Collect
In more time-sensitive legal matters where there is an urgency to identify and collect potentially relevant ESI for immediate protection and review, Aungate Preservation and Collection enables data stewards to forego the process of Preserve-in-Place and instead move to immediate collection of responsive data. Leveraging IDOL’s advanced analytics and concept-based retrieval capabilities, administrators are able to apply queries against the full range of operational systems and archives within the organization to specifically identify the information that is relevant to a particular area of their case. This identification can be done reactively to address a pressing discovery request or proactively, with administrators using ongoing policy-based queries to identify new potentially responsive data as it is created. Identified potentially relevant results are then sent in real-time to the collections repository where the data is automatically indexed for further processing.
Desktop Preservation and Collection
The legal obligation to preserve potentially relevant ESI in the face of litigation is particularly problematic for data residing on employee desktop and laptop machines. With the increasing mobility of the workforce, a large percentage of that information never gets stored on the corporate network, and is often missed during routine preservation and collection efforts. Aungate’s modules for Preservation and Collection is the only solution in the market to address this challenge through a unique ability to automatically preserve relevant ESI in place on the custodian’s laptop and desktop PC as well as on enterprise servers. The software has a small footprint and runs continuously on the custodian’s PC, applying intelligent legal hold policies against any data existing on the machine, regardless of its location or format.
To identify potentially relevant ESI, case managers use an intuitive central dashboard to send the legal hold policies out to all of the PCs where they continue to be applied even when the machine is offline, classifying and locking down content as required. If a machine is initially disconnected from the corporate network, the product will queue the policy for delivery over a simple Internet connection, thus finding the target PC regardless of its location. In addition to the legal hold and collection capabilities of the product, the product offers Remote Forensics features which retrieve and classify information from the "empty space" on the hard drive that is transparent at the operating system level. In this way, versioning, hidden changes and deleted items can be found, preserved and included in the discovery process.

The IDOL engine utilizes a full array of information processing capabilities, including metadata searching, file type checking, date ranges, keyword searching and concept analysis to distinguish between relevant and inconsequential information.
